Office Manager

We’re looking for an Office Manager to join our team.

You will:

  • Be responsible for keeping the office in perfect running condition.
  • Manage the day-to-day operations of the office and oversee IT infrastructure.
  • Maintain office efficiency by planning and implementing office systems and equipment procurement.
  • Be responsible for knowing the organization’s operational and administrative procedures inside and out.
  • Work closely with the Executive Director on Board and committee activities including organizing logistics and recording minutes for meetings.
  • Act as the primary point of contact and face of the organization, responding to frontline in-person, phone, and email inquiries.
  • Provide administrative support (arrange meetings, prepare and send correspondence, develop mailing lists, file, enter data into CRM database, take meeting minutes, arrange and prepare materials, order supplies, monitor expense report submissions).
  • Send invoices and track A/R and A/P.
  • Assist the Executive Director with HR duties including tracking staff vacation and personal days.
  • Lead internal meetings and chart team progress against KPIs.
  • Participate in other time-sensitive projects, as may be agreed to from time to time, with the Executive Director.

You are:

  • Excited to become an integral part of the organization and play an important role in our continued growth!
  • A self-starter with a minimum of 2 years of experience as an Office Manager / Executive Assistant (or relevant degree in economics / finance / administration / business).
  • An excellent communicator and are just as comfortable communicating instructions for catering as you are scheduling meeting dates with our board members.
  • Well-organized with experience identifying and managing streamlined operational processes.
  • Someone with demonstrated administrative, planning, and interpersonal skills.
  • Interested in sustainable transportation and environmental impacts.
  • Able to display professionalism when working with a variety of stakeholders of diverse interests and backgrounds.
  • Willing and able to travel to sites within and around North Toronto and Vaughan areas (access to a personal vehicle is not necessary for this position).

  • Non-profit Boards
  • QuickBooks
  • Salesforce

What we offer

Salary range: $38,000 – $44,000

Audit and Finance Committee Member

We’re looking for finance and accounting professionals with an interest in sustainability to join our Audit and Finance Committee. This is an excellent opportunity to help shape the direction of the Audit and Finance Committee, contribute your skills and expertise to an exciting non-profit organization engaged in sustainable transportation across North Toronto and Vaughan regions.

We’re looking for finance and accounting professionals with an interest in sustainability to join our Audit and Finance Committee. This is an excellent opportunity to help shape the direction of the Audit and Finance Committee, contribute your skills and expertise to an exciting non-profit organization engaged in sustainable transportation across North Toronto and Vaughan regions.

Smart Commute NTV employs an external accountant, has an annual audit and is accountable to Metrolinx, the City of Toronto and York Region. The Audit and Finance Committee meets quarterly and as needed, often by conference call, to consider matters within its terms of reference such as the review of periodic financial statements, budgets and forecasts, oversee the annual audit, assess risk, establish accounting policies and other matters referred to the committee by the Board of Directors or the Executive Committee. Members serve for a two year term. This is an excellent opportunity to build skills in the management of a growing not-for-profit, with a window on the transit opportunities within the GTA.

Call for nominations

Smart Commute – North Toronto, Vaughan (NTV) stakeholders have the opportunity to consider either nominating themselves or someone they know to serve on the volunteer Board of Directors. Ideally the candidate will have previously served on a not-for-profit Board or a Smart Commute advisory committee and has expertise in one or more of the following areas: Government Relations, Advocacy, Project management, Property development/management, IT, Data Security, Data Analysis, Nonprofit Governance.

Deadline: Wednesday, July 5, 2017.
Start Date: September 2017.

From time to time we utilize volunteers to attend outreach events, input survey data, and support us in other ways.
